# Assignary and RefTown

Assignary is where a club, league or association assigns its referees and judges, records the work and pays for it. A league or an association is a club here too. This page puts Assignary and RefTown side by side. Every fact about RefTown comes from RefTown’s own pages, read on October 20, 2026, and its number links the page it’s on.

## Which is better, Assignary or RefTown?

It depends on what you need beside assigning. RefTown suits an officials’ organization that wants one system to be its website too, with elections, tests, documents and forms, and to run its payroll and direct deposit, priced by the officials on its roster. [\[2\]](https://assignary.com/compare/reftown#source-2) [\[4\]](https://assignary.com/compare/reftown#source-4) Assignary suits a club, league or association that wants each seat offered to someone free, close enough and cleared for it, a record of who worked, and the crew paid through Stripe. Assigning is free. Each seat your club pays through Assignary has a price. Assignary opens in January 2027.

## How does each choose who works a game?

**RefTown**

RefTown’s assignment window shows availability, conflicts, distance and qualifications together, and an assignor searches the roster, fills each position and notifies the officials from it. [\[1\]](https://assignary.com/compare/reftown#source-1) For each game, RefTown lists the officials eligible under the organization’s own setup, by availability, sport and duty qualifications, distance, ratings and scratches, and shows each official’s history with the teams playing. [\[5\]](https://assignary.com/compare/reftown#source-5) Its automatic assignor picks from the eligible officials, and lists its picks for review before saving them. [\[6\]](https://assignary.com/compare/reftown#source-6) Where the assignor sets a weight, it leans toward officials nearer the site, or with a rating nearer the game’s. [\[6\]](https://assignary.com/compare/reftown#source-6) An assignor can also post a game for officials to claim or to request, in five modes that turn on an official’s rating. [\[7\]](https://assignary.com/compare/reftown#source-7) By default, officials see an assignment only once it’s published. [\[8\]](https://assignary.com/compare/reftown#source-8)

RefTown keeps each official’s certifications in its directory, [\[1\]](https://assignary.com/compare/reftown#source-1) and syncs license and certification data with USSF, and with another system for Oregon, by matching each official across the two systems. [\[12\]](https://assignary.com/compare/reftown#source-12)

**Assignary**

In Assignary a seat is one official’s place on a game’s crew, each seat with its own fee. For each seat, you see everyone who can work it. They’re free, close enough, certified and cleared for the day of the game, with no conflict and no other game in the way. You also see why everyone else is out. You choose who to offer it to. The Propose a crew button suggests an official for each open seat it can fill. It shows each one’s estimated drive in minutes. You send every first offer.

Assignary reads nothing from a federation’s or a state body’s records. Your club records each clearance itself: what it is, who issued it, who entered it, who checked it and when it runs out.

## How does each handle availability and conflicts?

**RefTown**

In RefTown an official sets their availability by weekday, or by date for one organization or for all of them, blocking whole days, ranges of times or all but certain times. [\[5\]](https://assignary.com/compare/reftown#source-5) They can cap the days they’re assigned over a period, ask for a minimum number of days between games, and give different starting points for drives at different times of day. [\[5\]](https://assignary.com/compare/reftown#source-5) An assignment from one RefTown organization can block an official’s availability in another, by priorities only the official sets. [\[9\]](https://assignary.com/compare/reftown#source-9) RefTown estimates driving distance as the straight line between the game site and the official, by address or zip code, plus 20%. [\[10\]](https://assignary.com/compare/reftown#source-10) An organization that connects its own Google Maps account can have RefTown work out precise driving distances. [\[11\]](https://assignary.com/compare/reftown#source-11) Scratches keep an official off games by team, location, partner or a broader category. [\[5\]](https://assignary.com/compare/reftown#source-5)

**Assignary**

In Assignary, an official keeps the times they’re free each week on their own page. They also block out any days they’re out. A seat goes only to somebody who passes every check. They’re free at that time and inside their own travel radius. They’re at the level the game asks for, and hold every clearance its sport requires when the game starts. They have no declared conflict, no other game in the way, and room under their own cap for the day. Assignary takes the straight line from an official’s home to the venue’s pin. It estimates the drive along it at a fixed 45 km/h (about 28 mph). It checks the official’s travel radius on the same straight line. If an official says they’re out, their seats on games that haven’t started are offered to the next person who can take them. A game whose re-offers are switched off is the exception. An official who’s out for a medical reason records it themselves. The club sees the dates and never the reason.

## How does an offer reach an official, and what if nobody answers?

**RefTown**

A RefTown official answers each assignment Yes or No, with a reason box that some organizations require on a decline, and submits the answers. [\[13\]](https://assignary.com/compare/reftown#source-13) RefTown emails them a confirmation, and the assignor a copy where that’s turned on. [\[13\]](https://assignary.com/compare/reftown#source-13) An assignment left unaccepted normally stays as it is, and is invoiced like any other. [\[14\]](https://assignary.com/compare/reftown#source-14) Where the organization uses an assignment expiration deadline, the administrator, or the system where that’s enabled, can cancel it once the deadline passes. [\[14\]](https://assignary.com/compare/reftown#source-14) Assignment changes go out by email and, optionally, by text. [\[5\]](https://assignary.com/compare/reftown#source-5) An official is texted only after turning texts on in their own profile. [\[15\]](https://assignary.com/compare/reftown#source-15) RefTown’s help pages give steps for its phone app, RefTown Mobile. [\[16\]](https://assignary.com/compare/reftown#source-16) An official can follow their games in their own calendar through a feed. [\[17\]](https://assignary.com/compare/reftown#source-17)

**Assignary**

In Assignary an offer arrives by email. There’s no app to install. The offer’s link opens in the phone’s browser. Its email shows the seat, the game, its sport and level, when it starts and ends, the venue and its address, and the pay. The official answers Accept or Turn down. Every offer has a time limit. If nobody answers before then, the offer runs out. If someone turns an offer down, or lets it run out, it goes to the next person who can take it. Assignary asks the nearest first, and the better record of turning up breaks a tie. The game’s history shows that Assignary moved it. You can turn off a game’s automatic re-offers. Then a seat that opens up on that game waits for you.

An official can say yes before anyone asks. Then a seat that matches is theirs the moment it’s offered. They choose what counts as a match: the levels they work, a radius, a cap for the week, weekdays they keep free, the lowest fee they’ll take and a pair of dates. They can stop saying yes ahead of time, too. Email is the only way an offer is sent. A private link puts their games in the calendar they already use.

## How does each record who worked?

**RefTown**

RefTown keeps each official’s assignment history in its directory. [\[1\]](https://assignary.com/compare/reftown#source-1) Since its June 2026 update, a game can be marked normal, canceled, postponed, suspended, rainout, forfeit or canceled late, or canceled for another reason with the payor billed, the officials paid, or both. [\[18\]](https://assignary.com/compare/reftown#source-18) Invoices are drawn from the schedule, and a change to a game already invoiced creates the credit or the offset. [\[19\]](https://assignary.com/compare/reftown#source-19) Evaluators and observers can be scheduled to games the way officials are. [\[5\]](https://assignary.com/compare/reftown#source-5)

**Assignary**

In Assignary an assigner marks a seat a no-show or excused, and one press records it. Every accepted seat on a game that has started is paid. The seats left out are the ones marked a no-show or excused, and any whose official disputes the record. An official can say the record of their seat is wrong. That seat stays out of the weekend’s payment until an assigner answers. The assigner answers by changing the record or by leaving it as it is. Each seat keeps a history of who offered it, who took it and who marked it. An official can download a signed record of their own work in a club. It shows their offers and accepts, whether the work happened and the clearances they hold. It has no pay figure in it. Whoever they hand it to can check it against a published key, without asking Assignary.

## How does each pay officials?

**RefTown**

RefTown draws invoices from the schedule for officials, and for schools or teams. [\[19\]](https://assignary.com/compare/reftown#source-19) An invoice can carry travel pay by a flat rate, by the mile or in ranges, and items of the organization’s own, such as dues, equipment or pay advances. [\[19\]](https://assignary.com/compare/reftown#source-19) Officials enter their own bank details, which RefTown shows back only as partial account numbers. [\[20\]](https://assignary.com/compare/reftown#source-20) The organization pays a batch of invoices by direct deposit through KotaPay, funded by a wire or an ACH transfer from its own bank. [\[20\]](https://assignary.com/compare/reftown#source-20) RefTown says the organization’s money is never in an account RefTown operates. [\[20\]](https://assignary.com/compare/reftown#source-20) Direct deposit takes a three-way contract between the organization, KotaPay and RefTown. [\[20\]](https://assignary.com/compare/reftown#source-20) A wired batch sent before the cutoff is paid the next business day. An ACH-funded batch waits until the funds clear. [\[20\]](https://assignary.com/compare/reftown#source-20) An organization can also pay officials to PayPal or Venmo from its own PayPal business account. [\[21\]](https://assignary.com/compare/reftown#source-21) RefTown exports to QuickBooks. [\[19\]](https://assignary.com/compare/reftown#source-19)

**Assignary**

In Assignary, a club’s treasurer pays for the weekend by card, bank transfer or bank debit. Each referee and judge is sent the whole fee on their seat. The club pays at Stripe’s checkout. It doesn’t open a payments account of its own. Officials give their bank details to Stripe, never to Assignary. Only an owner can make a club’s payments, so the club makes its treasurer one of its owners. An owner can also assign and run the club.

How soon each official’s fee is sent depends on how the club paid:

- A card whose bank confirmed the cardholder, Apple Pay or Google Pay: as the charge clears
- A US wire for the whole weekend: as it arrives
- An ACH transfer: 6 business days after it arrives
- A bank debit: plan on 65 days after it clears
- A card whose bank didn’t confirm the cardholder: 120 days after it clears

Before you pay, the Pay page shows each wait beside the button for that way to pay. Pay sent to an official lands in their Stripe balance first. It reaches their bank on Stripe’s usual schedule, at no cost to them. They can ask for it right away instead, which costs 1.75% of what is paid out, at least $1. They see the fee before they confirm.

One payment carries up to 50 seats. A bigger weekend is paid for in batches of 50, earliest games first. Each batch is a payment of its own, from the same Pay page. A club starts with a limit of $5,000 on payments that could still be taken back at any one time. Assignary doesn’t accept a payment that would go over it. The limit rises to $25,000 once 3 of the club’s weekends were paid for at least 60 days ago. On each of them, the wait before the crew is paid has to be over. None of them can have been disputed. The Pay page shows what the club paid each official in a calendar year. It counts each payment on the date the money moved.

## What does each cost?

Prices change. RefTown’s prices below are as its own pages state them, read on October 20, 2026. Assignary’s are as its pricing page states them.

**RefTown**

RefTown’s price page, last updated 23 September 2025, lists a base subscription of $75 plus $5 per official up to 300 officials and $4 per official from 301, each in blocks of 10. [\[4\]](https://assignary.com/compare/reftown#source-4) The base price includes 40 text message units of 160 characters per official, and 2,000 more units cost $40. [\[4\]](https://assignary.com/compare/reftown#source-4) Its cost calculator states a minimum of 20 officials. [\[3\]](https://assignary.com/compare/reftown#source-3)

For an officials’ organization, direct deposit costs $50 a year on top of the subscription, at prices effective 1 March 2025. [\[4\]](https://assignary.com/compare/reftown#source-4) On top of that:

- funded by ACH: $2.50 a batch and $1.15 a transaction [\[4\]](https://assignary.com/compare/reftown#source-4)
- funded by wire: $10 a batch and $0.85 a transaction, plus the bank’s own wire fee [\[4\]](https://assignary.com/compare/reftown#source-4)

A returned deposit is $5, a batch changed or deleted after it’s sent to the processor is $25, and a batch refused for insufficient funds is $50, or more where RefTown’s provider charges more. [\[4\]](https://assignary.com/compare/reftown#source-4) A school, district or league pays $200 a year and $2.50 a transaction. [\[4\]](https://assignary.com/compare/reftown#source-4) PayPal and Venmo payouts carry no annual fee for an officials’ organization, and cost $0.70 a transaction to RefTown and $0.25 to PayPal or Venmo. [\[4\]](https://assignary.com/compare/reftown#source-4) A school, district or league pays RefTown $2.25 a transaction. [\[4\]](https://assignary.com/compare/reftown#source-4) RefTown offers a free, fully functional trial, and asks for no payment until the organization is satisfied. [\[2\]](https://assignary.com/compare/reftown#source-2)

**Assignary**

With Assignary, assigning is free. There’s no subscription, no setup fee and no contract. Assignary charges for a weekend only when you pay its refs through Assignary. Each seat you pay for adds $3.50 plus 3.5% of that seat’s fee by card, or $3.50 plus 1.25% by bank. Its referee or judge is still sent the whole fee. The percentage is worked out on each seat’s fee and rounded up to the cent. A bank debit through Stripe’s checkout adds Stripe’s $1.50 fee for linking the bank account, as a line of its own. A wire adds Stripe’s $15 to what the club owes. A seat with no fee is never part of a payment and never charged for. A referee or a judge pays nothing to take a seat or to be paid. These prices hold from October 6, 2026.

A season plan prepays the seat fee, the $3.50 part of each seat’s price, in a block. It’s one invoice, paid by bank transfer. The blocks are 250 seats for $812.50, 500 for $1,575.00, 1,000 for $3,050.00 and 2,500 for $7,375.00. A plan is sold on a quote, at no more than these prices a seat. Each weekend is still paid for on its own: the refs’ fees and the percentage. Only a weekend paid by bank takes its seat fees from the block. A weekend paid by card is charged at the price a seat, and draws on no block.

RefTown prices by the officials an organization subscribes. [\[4\]](https://assignary.com/compare/reftown#source-4) Assignary prices by the seats a club pays for, so the two are counted in different units.

## Can I move from RefTown to Assignary, or back?

**RefTown**

RefTown exports a list of games to an Excel workbook (.xlsx), [\[22\]](https://assignary.com/compare/reftown#source-22) and a roster of officials through Export/Download, with email addresses in it when an administrator exports it. [\[23\]](https://assignary.com/compare/reftown#source-23)

RefTown imports games from an .xlsx, .xls or .csv file whose column headers name its columns, and checks the schools, officials, dates and times in it before it takes the file, with options to add what’s missing. [\[24\]](https://assignary.com/compare/reftown#source-24) It also offers to import an organization’s first data for it at no charge. [\[25\]](https://assignary.com/compare/reftown#source-25)

**Assignary**

Assignary imports a .csv or .xlsx workbook and each row becomes a game. Before anything is saved, Assignary shows you every row. For a row it can’t read, it says what’s wrong. One file carries up to 200 games. Assignary’s switching page lists the columns it reads.

The crew comes over by one join link posted to the group, an invitation each, or a roster typed in with a name and an email address for each person. Officials sign in with a code sent to their email, with no password to set. Officials are 18 or older. Nobody holds an account, or is paid, without saying they are.

You can put one weekend’s games into Assignary, offer their seats and fill them, while the rest of the season stays where it is. Assignary charges nothing for a weekend your club doesn’t pay for through it.

Assignary doesn’t replace a system an association requires.

Going the other way, a club’s owner can download one zip of spreadsheets for a range of dates. It holds the games and every offer of a seat on them, and the roster and members as they are now. It also holds what the club was charged and what its officials were paid.

RefTown can share an official’s assignments between their RefTown organizations, using settings the official picks. [\[9\]](https://assignary.com/compare/reftown#source-9) That way they don’t have to update each one’s availability calendar every time they get an assignment. [\[9\]](https://assignary.com/compare/reftown#source-9) Assignary checks each seat against the games and availability kept in Assignary. So an official who works games on both has to keep their availability up to date in each.
