paying the refs

# Mark who didn’t show. Pay the rest, to the cent.

A chapter is your club, league or association. On Monday its treasurer pays for the weekend at Stripe’s checkout, and each referee and judge is sent the whole fee on their seat.

## The treasurer’s Monday

Paying takes the owner’s role, so a chapter’s treasurer is made one of its owners, and an owner can also assign and run the chapter. An assigner marks who did not show and who was excused, and the settle page lists what is left. Every accepted seat that has started is paid unless it is marked a no-show or excused, or its official disputes the record. The treasurer chooses a way to pay and pays the total.

| L Roy Tavares, Comets v Eastside | $40.00 | $40.00 |
| L Dale Whitlock, Kestrels v Rooks | $55.00 | $55.00 |
| A1 Charlene Bishop, Kestrels v Rooks | $35.00 | $35.00 |
| A2 Trey Marshall, Kestrels v Rooks | $35.00 | $35.00 |
| L Imani Wallace, Titans v North | $50.00 | $50.00 |
| A1 Gus Marino, Titans v North | $32.00 | No-show |
| L Marisa Holt, Marlow v Oakwood | $75.00 | $75.00 |
| A1 Trey Marshall, Marlow v Oakwood | $45.00 | $45.00 |
| A2 Dale Whitlock, Marlow v Oakwood | $45.00 | $45.00 |
| The crew | $412.00 | $380.00 |

What the chapter pays for those seats, by card and by bank
| The payment’s lines | By card | By bank |
| --- | --- | --- |
| To the crew, whole | $380.00 | $380.00 |
| Seat fees, $3.50 a seat | $28.00 | $28.00 |
| 3.5% of each fee by card, 1.25% by bank | $13.33 | $4.78 |
| The chapter pays | $421.33 | $412.78 |

The percentage is worked out on each seat’s fee and rounded up to the cent. By bank is what a bank transfer comes to. A bank debit through Stripe’s checkout adds Stripe’s $1.50 bank link, as a line of its own.

Making your treasurer an owner

An assigner makes the chapter's treasurer an owner, and the treasurer, signed in as themselves, has the page a weekend is settled on.

Demo club — fictional people and games.

1. Your treasurer joins the chapter the way anybody does.
2. The assigner makes them an owner, which is the role that pays.
3. As an owner, the treasurer has the page that settles a weekend.

Settling a weekend

A treasurer's Monday: a no-show and an excused seat recorded, the weekend's quote without them, three ways to pay it, and the weekend paid by card.

Demo club — fictional people and games.

1. Monday. Somebody did not show, and one press records it.
2. Somebody else called ahead, and is recorded as excused.
3. Both are recorded, and the weekend can be settled.
4. The weekend's quote leaves both seats out.
5. Three ways to pay, each with its cost and its wait.
6. The treasurer chooses to pay by card.
7. The card is entered on Stripe's own page.
8. Paid, and the crew's pay is on its way.

## Three ways to pay

**Paying from the club’s bank account? Send a bank transfer by ACH: it is charged the lower rate, it carries no bank link fee and no wire fee, and the refs are paid 6 business days after it arrives.**

The three ways to pay a weekend
| Way to pay | The chapter adds | The refs are paid |
| --- | --- | --- |
| Card | $3.50 a seat plus 3.5% of each fee. | As the charge clears, where the card’s bank confirmed the cardholder or the payment came through Apple Pay or Google Pay. Every card payment asks the bank for that confirmation, and one taken without it waits 120 days after it clears. |
| Bank transfer | $3.50 a seat plus 1.25% of each fee. A wire adds Stripe’s $15 to what the chapter owes. | 6 business days after the transfer arrives, or as it arrives where the whole weekend came by US wire. |
| Bank debit | $3.50 a seat plus 1.25% of each fee, and Stripe’s $1.50 bank link as a line of its own. A debit through Stripe’s checkout that the bank refuses adds $5.50 to what the chapter owes. | Plan on 65 days after the debit clears. It is 2 business days only where Stripe reports the account as a business’s, which it does not always do. |

The settle page says each wait beside the button that chooses it, before you pay.

What each way takes

A card payment takes a US card, Apple Pay or Google Pay, and not American Express, Discover or a prepaid card. A bank transfer is money the chapter’s bank sends to the account Stripe shows, quoting its reference. A bank debit takes the money from the chapter’s account. Stripe charges $1.50 to link the bank account a debit is paid from, added as its own line at Stripe’s checkout. A debit of an account the chapter saved links nothing and carries no such line.

## When the refs are paid

Each official’s fee is sent on a wait set by how the chapter paid.

- A card its bank confirmed, Apple Pay or Google Pay: as the charge clears
- A US wire for the whole weekend: as it arrives
- A debit from an account Stripe reports as a business’s: 2 business days after it clears
- Any other bank transfer: 6 business days after it arrives
- Any other bank debit, which is the wait to plan on: 65 days after it clears
- A card its bank did not confirm: 120 days after it clears

Pay sent to an official lands in their Stripe balance and reaches their bank on Stripe’s usual schedule, at no cost to them. They can ask for it at once instead, which costs 1.75% of what is paid out, at least $1, and the fee is shown before they confirm.

When the refs are paid

When the refs are paid, by the way the club pays, each a lane with its rate and a track as long as its wait. Bank transfer, 1.25%: 6 business days after it arrives, marked Recommended. Card, 3.5%: as the charge clears; if its bank did not confirm, 120 days. Bank debit, 1.25%: plan on 65 days after it clears; Stripe's bank link, + $1.50. Under the bank transfer: A US wire: as it arrives, + Stripe's $15. A mark arrives at the end of each track in the order the waits end, the card's first and the debit's last, and the card's unconfirmed wait after them: Released to their Stripe balance. Then a second mark on each: In their bank on Stripe's schedule, or at once, for 1.75% of what is paid out, at least $1. Last, the meerkat's face above the name Assignary, and under it, by Brick Sofa.

1. From the club's bank, send a transfer.
2. A card pays as its charge clears.
3. A bank debit is the long wait.
4. A US wire adds Stripe's fee.
5. Each wait ends in their Stripe balance.
6. Then their bank, on Stripe's schedule.
7. Or at once, for a fee shown first.
8. Assignary, by Brick Sofa.

## What can go wrong

### A ref says the record is wrong

An official can say the record of their seat is wrong. That seat is left out of the weekend’s payment until an assigner has answered, by changing the record or by leaving it as it stands.

A disputed record holds its seat

An official has said the record of their seat is wrong; the board shows what they said, and the weekend's settle page lists every seat but theirs.

### A ref has not set up payouts

A seat whose official has not finished setting up payouts with Stripe is left out of the weekend’s payment until they do, and the rest of the crew is paid without it.

### A weekend is refunded

A chapter’s owner can refund a whole settlement from the console. The refund returns the charge less the processing fee Stripe kept on it, and less the seat fee and 0.25% of the pay of each seat whose official had already been paid.

What else a refund does

The refund waits until every official’s fee for that settlement has come back from their Stripe account, and keeps back any that could not be recovered. Stripe’s bank link fee is not refunded. A settlement paid by bank debit or by international wire is refunded as a credit on the chapter’s account, paid back when its owner asks. Where a season plan paid a seat’s seat fee, the seat stays drawn from the plan if its official had been paid, and goes back to the plan if not.

### A payment is taken back

If a chapter’s bank or card issuer takes a payment back, the chapter owes what that cost: the amount, and the fees Stripe charges for it. A chapter that owes anything settles no other weekend until it has paid. What a chapter owes is paid by bank debit at Stripe’s checkout; no card and no bank transfer pays it. That payment carries what Stripe charges to collect it, each as a line of its own: 0.8% of the debit, at most $5, and the $1.50 bank link.

If the chapter has not paid within 30 days, each official that payment paid can have their share of the crew’s part of what is still owed, and no more, taken back from their Stripe account. It is paid back to them once the chapter has paid what it owes and that payment can no longer be taken back. An official is told this before they set up payouts.

### The bank refuses a debit

A bank debit the chapter’s bank refuses adds Stripe’s $4 failure fee to what the chapter owes, and the $1.50 bank link where the debit went through Stripe’s checkout.

## The limits

One payment carries up to 50 seats. A bigger weekend is paid in batches of 50, earliest games first, each a payment of its own from the same settle page.

A chapter starts with a ceiling of $5,000 on payments that can still be taken back at one time. A payment that would pass it is not taken. A payment counts toward it for as long as its way of paying lets it be taken back: 120 days by card, 60 by bank debit and 11 by bank transfer. The ceiling rises to $25,000 once 3 of the chapter’s weekends have stood for 60 days: paid, their crews’ pay released, and never disputed.

A club staffing 40 seats at $35 each pays $1,589.20 a weekend by card. Three such weekends fit under a starting ceiling at one time. Paid every week by bank transfer, the same club has no more than two weekends counting at once, $3,115.20. The settle page states the chapter’s own figure. A chapter that needs more room writes hello@assignary.com before a payment meets it.

## Reconciling

Each payment at Stripe’s checkout lists the crew’s fees, the seat fees and the percentage as lines of their own. The settle page lists every payment in the dates you pick, with each seat it paid, how it was paid and the day its crew is paid.

The settle page shows what the chapter paid each official in a calendar year, counted on the date the money moved. A chapter’s owner downloads one zip of spreadsheets for a range of dates: the games and every offer of a seat on them, the roster and members as they stand, and what the chapter was charged and its officials were paid. Each download is recorded on the chapter’s trail.

## Who holds what

The chapter pays at Stripe’s checkout and opens no payments account of its own. Officials give their bank details to Stripe, never to Assignary. What Assignary keeps of a payment is its amounts, its fees and its dates.
